Make sure your Google Account is setup for IMAP.
- Sign in to your Google Workspace account in a browser
- Click the Gear icon -> See all settings -> Forwarding and POP/IMAP
- Select Enable IMAP and click Save Changes
Add the Account In Outlook
- Go to the File menu and select Add Account
- Enter the email address of the Google Workspace account
- Click Connect
- You should be prompted with a Google sign in screen.
- Go through the process of entering your email and password and any multi-factor if it is enabled.
- Click Allow if prompted.
- This new account should now appear in Outlook as a separate group of folders.
- Give this new account a day or so to fully synchronize before exporting it.
Export the Account to a PST File
(note: you will want to make sure you have forwarding turned on for this account to make sure you receive any new emails)
- In Outlook Click File (top-left).
- Click Open & Export.
- Click Import/Export.
- Select Export to a file → Next.
- Select Outlook Data File (.pst) → Next.
- In the folder tree, click the top line that is the account name for your Google Workspace mailbox (often shows as your email address).
- Check ✅ Include subfolders (this is what pulls every mail folder under it).
- Click Next.
- Click Browse… and choose where to save it (I suggest Documents\Outlook Backups\), then name it something like:
- workspace-yourdomain-2026-03-02.pst
- Under Options, pick one:
- Replace duplicates with items exported (typical if you’re overwriting an older export), or
- Allow duplicates to be created (safer if you’re not sure).
- Click Finish.
- If prompted for a password: leave it blank
- This may take quite some time depending on the size of your mailbox. Do not close Outlook or log off until it has completed.
- Once the export has completed, you can add the new PST file to Outlook
- In Outlook, go to File → Open & Export → Open Outlook Data File and select the PST file you just created. It will appear in the left folder list so you can spot-check that folder counts look right.
- Once you are satisfied the folders are all there, you can remove the Google Workspace account from Outlook and just keep the PST file for historical access.
